Job Position : Office Assistant Cum Front Desk.

 

Job Description:  

Experience in Handling Front Desk, Welcoming visitors & handling Petty Cash

? Managing day-to-day administrative affairs, scheduling all appointments and other commitments;

handling changes or cancellations as deemed necessary and/or appropriate.

? Providing with background information, meeting summaries and/or supporting documents in

preparation for scheduled appointments and meeting.

? Preparing, reviewing, proofreading, formatting, editing correspondence, reports, and presentations to

ensure accuracy and completeness.

? Answering and managing incoming calls, taking messages and maintaining contact lists.

? Opening and sorting mails, determining which correspondence can be handled by self and taking

initiative in drafting.

? Taking meeting minutes, write reports, prepare correspondence and prioritize items that need attention.

? Photocopying, scanning and transmitting information as needed or requested.

? Scheduling and organizing all activities such as meetings, travel, car services etc.

? Organizing, maintaining files, records and retrieving documents and reference materials.

? Setting up and managing both electronic and paper filing systems for various departments and taking

steps to maintain that the company is in compliance with all applicable record-keeping requirements.

? Conduct research, collect and analyze data to prepare reports and documents.

? Managing projects and conducting research.

? Maintaining and tracking detailed priority list of projects/sub projects and engagements.

? Exercising good judgment in following up with team/departments to ensure deadlines are met.

? Working independently and within a team on special and ongoing projects when necessary.

? Managing the flow of information to members of the executive leadership team.

? Liaise with internal staff/team at all levels

? Chairing Work in Progress (WIP) meetings with team and coordinating tasks pertaining to projects and

subprojects to ensure that goals are accomplished consistent with targets, project plan, time frame and

budgets.

? Supervise, coach and train new team members about the company's processes and procedures.

? Processing certain recurring invoices relating to business as well as personal.

? Preparing director's expense report, reconciling credit card statements or submitting billing information.

? Providing quality customer service.

? Receive and interact with incoming visitors/clients.

? Handling confidential and sensitive information with poise, tact, and diplomacy.

? Performing other duties as may be required.

Skill-Sets:

? Proven experience of working as an Office assistant.

? Professionalism regarding time and deadlines

? Strong attention to detail

? Ability to build strong relationships with team members

? Good listening and communication skills to ensure that information is understood and relayed

correctly.

? People/Interpersonal Skills: You will be working directly with at least one person: your boss. But you also

might be the first line of communication between your boss and the outside world, potentially speaking

with clients, other employees and upper management.

? Computer Skills: Writing emails, transcribing notes, faxing, copying, and creating spreadsheets or

printing documents.

Work Experience: 3-5 Years

Purpose of Role: The individual in this position will handle the front office Desk and assist in Office management.

 

Education training and other requirements:

? At least 3 years experience providing executive-level administrative support experience,

? Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite

? Knowledge of standard office administrative practices and procedures

? Must possess effective communication and analytical skills; both oral and written

? Bachelor's degree an advantage

? Female, married and preferably with kids.
